When managing multiple users, assigning appropriate access and permissions is crucial to maintaining security and operational efficiency. Whether you're assigning companies to account managers, granting clients access to their reports, or giving specific users read-only access to select pages, creating security groups is the key. This article walks through how to create a security group and manage user access within Lifecycle Insights.
You need to make sure that every user has just the right amount of access--no more, no less to avoid any unnecessary exposure to sensitive data while making sure that team members can perform their roles without hindrance.
By creating security groups, you can define exactly what each user can do. For instance, you might have one group for account managers who need full access to client data and another for clients who only need to see their reports.
Watch the Create a Security Group video as a first step to security group creation and user management.
Step 1: Navigating to Security Groups
To begin, navigate to the Security Groups section:
- Select Account Settings from the main menu.
- Click Security Groups to view existing groups or to create a new one.
Step 2: Adding a New Security Group
To create a new security group:
- Click the +Add New button to initiate the creation process.
-
Name the Security Group: Enter a meaningful name that reflects the group’s purpose, such as "Account Managers" or "Client Access."
Step 3: Configuring Security Group Settings
Once you’ve named your security group, configure the following settings to tailor access:
- Choose the Company: Assign the security group to a specific company.
- Notifications: Decide whether members of this group have rights to receive notifications about platform updates. This ensures they stay informed about changes that may impact their work.
- Can Edit Tenant Default Dashboard: Grant or restrict the ability to move or hide dashboard tiles for tenants. This setting is useful if you want to control how the dashboard appears to different users.
- Data Sync Manager: Determine if this group should have the authority to manage data synchronization, ensuring that the most current data is available across Lifecycle Insights.
- Onboarding: Decide if members of this group should have access to the Onboarding Tasks list. This is particularly helpful for new users who need to complete setup tasks.
- Can Edit Security Groups Dashboard: Control whether users can modify the dashboard tiles for all security groups. This setting is useful for administrators who need to oversee how information is presented.
Step 4: Assigning Access to Specific Areas
After configuring the basic settings, you can assign specific areas where the user needs access:
Use the Blue Headers to multi-select or deselect all items within a section, simplifying the process of granting access to multiple areas simultaneously.
Step 5: Verifying User Access
To ensure that the user has the correct permissions:
-
Impersonate the User: You can impersonate any user by clicking the Impersonate menu option underneath your name in the top right corner of the platform.
- Select the security group and the specific user you wish to impersonate.
- Click Impersonate to view Lifecycle Insights as that user would, allowing you to verify their access and permissions.
-
Cancel Impersonation: Once you’ve completed the impersonation, click on the settings wheel by your name again and select Cancel Impersonate to return to your account view.
