The CSV import function was designed to provide a quick and straightforward way to configure and setup assessment templates. You can create new templates, categories, and items using the file import feature. This document is designed to guide you through the process of setting up an import file, as well as to provide the necessary information that will help you build quality templates quickly and easily.
Downloading the sample CSV template
Lifecycle Insights provides a downloadable sample csv template to assist you with setting up a csv file for import.
How to Import an Assessment Via CSV
1. Navigate to Assessments Manage Assessment Templates.
2. From the Assessment Template Screen, Click the Green “Import from CSV” button.
3. Click the Choose File button and browse to the CSV file you want to import.
4. After the file is loaded, click the Load and Map Columns button.
5. Make sure to fill out the Lifecycle Insights Field and try to match the Column Header from file.
6. At the bottom of the page click Import Data.
***Fields that are not mapped to a LCI Field will not be imported***
Once the import process is completed, the assessment template will be shown on the screen in the template editor. Click Save Changes when you have finished editing the template.
Importing Multiple Templates
The Assessment Template Import function does support importing multiple templates.
Inserting Hyperlinks
Hyperlinks are supported through CSV import process for the Scoring Instructions and Explanation/Remediation fields only.
The full html tag is required. It is important to note that the display text of the html tag must contain text (highlighted in example below). The hyperlink will not show or function without the display text within the tag.
If you have any verbiage before the html tag, you should eliminate any “(“, and “)” characters, as excel will mistake the text as a formula and show an error.
Installing Exchange on a domain controller is not recommended. Picture and document attachments are not available in the file import process.
Error Importing Assessment Template Data
Some errors will cause a ‘hard stop’ to the file import process.
This ‘hard stop’ error is caused by one of two issues.
A. The file or data in the file is corrupt or incorrectly formatted. Use the field descriptions above to correct formatting issues.
B. The template file contains more than one Assessment Name contained in the Assessment Name field. Review all data in the field to ensure uniformity and/or move other assessments to a separate csv template file.
Duplicate Fields
The system will not accept duplicate field names but will skip data during the import process. You will notice these when attempting to map the fields in the file data to the LCI fields. Any fields that are not mapped to a corresponding LCI field will be ignored.
Note: The system does support multiple responses of the same type, but not as a function of the import process. Either reassign to a different response type if available, then change each response type manually.
Duplicate Items
A duplicate item is an item that contains an exact name match with an item in either the import template or an existing item in the database. Duplicate items within the template that did not previously exist in the database will be imported, but you will not be allowed to save the new Assessment until these duplicates are addressed. During the template review process, you will receive an error message that there are duplicate items if you attempt to save the assessment.
To correct this issue, edit one or both items to assign a unique name to the item.
If you attempt to import an item that currently exists in the database, the import process will ignore the item from the template file and instead use the item that already exists in the database. If needed, you can edit the item before saving the Assessment.
Duplicate Categories
Importing multiple items for multiple categories is what make the import from template function convenient to use.
However, the template file should be sorted to group all categories together. If they are not grouped together in the file duplicate categories will be created within your Assessment.
You can easily correct this issue by switching the Assessment View to Layout View. Then drag the items from the duplicate Category to another Category.
Switch back to Form View and delete the empty Category.
