Autotask Opportunity Integration

LCI is excited to announce that we have rolled out our initial integration with Autotask Opportunities. Specifically, when you are working with LCI Recommendations, you can:

 

  1. Create an Autotask Opportunity
  2. Link to an existing Autotask Opportunity
  3. Unlink a previously linked Autotask Opportunity

 

How to Enable Autotask Opportunity Integration

 

If your primary integration source is Autotask, Opportunity Integration will be automatically enabled. However, you need to ensure that the API Security Role has the correct permissions set. This knowledge base article outlines the steps to ensure you have the appropriate permissions set.

 

If your primary integration source is IT Glue or Hudu and you have set up a supplemental integration for Autotask, you should ensure that Opportunities are checked in Administration > Integrations > Autotask > Autotask Settings tab, as outlined below.

 

 

Additionally, make sure that the API Security Role has the correct permissions set. This knowledge base article outlines the steps to ensure you have the appropriate permissions set.

 

Additional Requirements:

 

  • Users with read-only access to LCI Recommendations won't be able to access Autotask Opportunities in LCI.
  • External Users won't have access to Autotask Opportunities in LCI. 

FEATURES

 

Create Opportunity in Autotask from LCI Recommendation

 

You will have the capability to create an Autotask Opportunity from an LCI Recommendation. Each LCI Recommendation can only be associated with one Autotask Opportunity.

 

 

  • LCI to Autotask Mapping
    • The LCI Recommendation Name will be passed in as the Summary.
    • If the start date is greater than today, the Close Date will be set to the LCI Start Date; otherwise, it will be set to today's date.
    • The one-time total revenue will comprise of Labor Estimate + Materials Estimate + Replacement Estimate.
    • Based on the cycle of the recurring cost in the Recommendation, Monthly/Quarterly/Semi-Annually/Annual revenue will be auto-filled
    • A Forecast entry won't be added to Autotask.
    • Description from the recommendation will also be displayed in the corresponding Opportunity

 

  • This feature will be accessible on the following LCI Pages (click the + Autotask Opportunity Button > Create Autotask Opportunity) :
    • Recommendation Edit
    • Recommendation List View (if Autotask Opps are visible in the top title bar)
    • Recommendation Roadmap Board (if Autotask Opps are visible in the top title bar)
    • Recommendation Status Board (if Autotask Opps are visible in the top title bar)
  • This feature is NOT available in:
    • Report Builder Recommendation List
    • Report Builder Recommendation Roadmap
    • Recommendation Roadmap

Once you've created the Opportunity in LCI, any subsequent edits should be performed in Autotask. In other words, you cannot directly edit a recommendation in LCI.

 

Link Autotask Opportunity to LCI Recommendation

 

Users can link an existing Autotask Opportunity to an LCI Recommendation. Each LCI Recommendation can only be linked to one Autotask Opportunity.

 

  • This feature will be accessible on the following LCI Pages (click the + Autotask Opportunity Button > Link Existing Autotask Opportunity):
    • Recommendation Edit
    • Recommendation List View (if Autotask Opps are visible in the top title bar)
    • Recommendation Roadmap Board (if Autotask Opps are visible in the top title bar)
    • Recommendation Status Board (if Autotask Opps are visible in the top title bar)

Unlink Existing Autotask Opportunity from LCI Recommendation

 

If a previously linked Autotask Opportunity was associated with an LCI Recommendation, you can unlink it.

    • Recommendation Edit
    • Recommendation List View (if Autotask Opps are visible in the top title bar)

Open Linked Autotask Opportunity

 

If a previously linked Autotask Opportunity was connected to an LCI Recommendation, you can access it in Autotask via the provided link.

    • Recommendation Edit

Show/Hide Autotask Opps Toggle in Title Bar

 

In the title bar of the Recommendations page, a show/hide button for Autotask Opportunities is available. This provides users with the flexibility to work with Autotask Opps on pages that display all LCI Recommendations. We believe this capability is important, especially if the MSP is showcasing LCI to the end customer.
